NatureFinance is a Swiss-based, international non-profit organization dedicated to aligning global finance with more equitable, nature positive outcomes. We work to make nature count in global finance and the global economy. Functional Areas
The Finance & Operations and Communications functional areas are central to the organization’s strategic and operational effectiveness.
• Finance and Operations overseas budgeting, financial planning, compliance, procurement, and internal systems to ensure efficient and transparent resource management.
• Communications lead the development and execution of internal and external messaging, brand positioning, and stakeholder engagement strategies.
Together, these workstreams aim to strengthen organizational performance, visibility, and accountability. The Program Administrator will support both areas by coordinating workflows, maintaining documentation, and facilitating cross-functional collaboration.
Role overview
The Program Administrator will report to the Director of Finance & Operations, with a dotted-line coordination relationship to the Director of Communications. They will play a key operational role in supporting both functional areas, ensuring smooth coordination, documentation, and execution of cross-functional priorities. This position will bring strong project management capabilities and operational discipline to the broader organizational infrastructure. This role requires a proactive, detail-oriented professional who thrives in a dynamic, mission-driven environment and can work seamlessly across teams to support both day-to-day operations and long-term goals.
Key responsibilities
• Schedule and coordinate regular meetings with external service providers and partners, including legal and compliance advisors, accounting and payroll vendors, external auditors and communications contractors.
• Lead logistical planning for travel, including booking flights, accommodation, and arranging visas or registrations as needed.
• Support project management across Finance & Operations and Communications, ensuring timelines, deliverables, and dependencies are tracked and met.
• Maintain and organize documentation and knowledge assets using MS SharePoint, Teams, Monday.com among other tools.
• Collaborate with the Special Assistant to the CEO to align the deliverables related to Board and Executive Management Teams meetings.
• Track and follow up on action items from Finance & Operations meetings to ensure timely delivery.
• Support scheduling and coordination of interviews during recruitment processes including calendar invites, panel organization and ensuring timely communication with interviewers and applicants.
• Format reports, presentations, and communications using NatureFinance-branded templates.
• Liaise with vendors and suppliers, including sourcing and negotiation as needed.
• Support preparation and submission of expense reports and related documentation, ensuring compliance with NatureFinance’s internal policies and procedures.
Qualifications and experience
• Bachelor’s degree in business administration, management or a related field. Relevant certifications or equivalent professional experience will also be considered.
• Minimum 5 years of experience in executive level administrative support and operations.
• Exceptional organizational and time management skills, with the ability to prioritize effectively between competing (and at times conflicting) tasks and deadlines
• Exceptional organizational skills and impeccable attention to detail
• Strong verbal and written communication skills.
• Proven experience supporting logistics for large in-person meetings and international travels.
• Technical Skills: Proficient in MS Office, Outlook Calendar, Teams, SharePoint.
• Fluent in English; French, Portuguese are Spanish an asset.
• The Program Administrator is expected to maintain confidentiality and uphold the organization’s values of transparency, equity, and integrity.

Terms
The role will be full-time, working remotely, with a preference for a candidate located within CET or EAT time zones. As NatureFinance operates across multiple geographies, this role requires effective virtual collaboration, clear written communication, and flexibility in working with teams across different time zones.
The team member notes that, due to the characteristics of Nature Finance’s business and the position, the role may require occasional travel for team retreats, offsites, or major meetings, typically with advance notice.
